Users, Members, Roles & Grants
User Accounts
Every user of Proofdesk has their own account linked to their chosen email address and password.
When you first set up your account you'll be asked to configure 2FA with an authentication app. This keeps your account secure, as well as any organisations that you manage.
You can then be invited to an organisation as a member or create your own organisations.
Members
A member refers to any user account that has been given access to your organisation. You can invite any number of users to join your organisation, and users can belong to multiple organisations at the same time.
When you invite someone, you do so with their email address. They will then receive an invitation email which allows them to create a user account If they already have a user account, their existing account will be linked when the invitation is accepted.
In the event you need to terminate a user's access to your information, you can do so by removing them from your organisation.
Roles
Every member within your organisation is assigned a Role, which is a list of grants that outline what that member can see and do within your organisation.
You can create as many roles as necessary to suit your organisation and change a member's role at any time.
Grants
Roles can be assigned a list of grants which represent permission to do a certain action, or see certain data in the organisation. The grants and permissions they represent are:
Generate Reports: Run reports such as the Statistical Return.
Manage Disclosures: See and manage Disclosures.
Manage Enquiries: See and manage ML/TF Enquiries.
Manage Configuration: Update Configuration Policies.
Manage Team: Add/Remove Members.
View Entities: View the list of Entities.
Manage Entity: Add/Remove/Update Entities.
View Relationships: View the list of Relationships.
Manage Relationship: Add/Remove/Update Entities.
Submit Relationship: Submit a relationship for approval by members with the "Approve Relationship" grant
Approve Relationship: Approve a Relationship Approval.
Countersign Relationship: Countersign a Relationship Approval.
Terminate Relationship: Create a Relationship Termination.
View Policies: View the list of Policies.
Manage Policy: Add/Remove/Update Policies.
Approve Policy: Approve a Policy.
