Exporting Records

From time to time you’ll need to share information outside Proofdesk perhaps with a colleague or the regulator. Proofdesk makes this easy. You can export individual forms, complete entities, or whole reviews as tidy PDF packs that tell the full story of what’s been done.

Exporting a single form

Any Completed form in Proofdesk can be exported as a PDF. You can’t export drafts, they need to be finalised first. To export a form:

  1. Open the form.

  2. Click Export on the right-hand side of the toolbar.

This generates a PDF version of the form that includes all fields, timestamps, and approval details. It’s ideal for sharing a specific piece of information without giving access to the entire record.

If the form contains attachments (like documents), the PDF will automatically include these too.

Exporting an entity

To export everything you know about a single person or organisation, open that Entity and scroll to the bottom of the sidebar. Click Export Entity. This creates a comprehensive pack of all the forms and documents linked to that entity including Identity, Documents, Screening, Structure, and more. It’s especially useful if the regulator requests a full breakdown of a specific individual, company, or trust.

Exporting a full review

Sometimes you’ll need to evidence an entire relationship not just one entity or form. In the relationship’s sidebar, click the three dots next to the review selector and choose Export Review. This produces a full Review Pack that includes:

  • Relationship Details, Customer Risk Assessment, and Approval forms

  • Every form for each entity linked to that relationship (customers, linked entities, introducers, beneficial owners, etc.)

  • All associated documents and timestamps

This is exactly what the FSA looks for during inspections: a complete, auditable record showing how a customer was onboarded and reviewed.
