Inside the Onboarding Review
Every Relationship in Proofdesk is made up of Reviews. A Review captures everything you know about your relationship with a customer customer at a single point in time such as their details, the services you provide, and your assessment of the risks.
You’ll complete your first Review when onboarding a new customer, and then again whenever you perform periodic or trigger event reviews. The process you follow for each review is always the same.
The Review workspace
When you open a Relationship, you’ll see the Review workspace. On the left is the sidebar, and on the right is the currently selected form.
At the top of the sidebar, you’ll see a summary of the Relationship:
Reference: the identifier you set earlier
Customer: the entity linked to this Relationship
Status: Onboarding, Active, or Closed
Assignees: the people responsible for managing it
Risk Level: shown for active customers
Next Review Date: automatically calculated from your Risk Classification Policy
Beneath this is a dropdown showing which Review you’re viewing (for most people, there will only be one at this stage). You’ll also see the review's current stage: either Profiling, Approval, or Completed.
Below that is the Review’s checklist - your step-by-step process. Each Review follows the same checklist, starting with the Profiling stage and then the Approval stage.
Each item in the checklist is clickable. When you select one, the form opens on the right-hand side. As you complete each form, a ✅ tick appears next to its name.
Understanding the stages
Profiling is where you gather information and risk assess the customer, essentially building the case for whether the Relationship should be approved.
Approval is where someone senior (such as Compliance or a Director) reviews that case, records their decision, and formally approves or declines the Relationship.
In many firms these stages are completed by different people, but in smaller firms they might both be completed by the same user.
Starting your first Review
Let’s begin by completing the first form in the checklist: Relationship Details.
This form focuses on the specifics of the Relationship itself, not the customer’s identity, but how you’re doing business with them.
Every firm’s Relationship Details form is a little different, but you’ll usually see questions like:
What services are being provided?
Who is paying the fees?
Have we met the customer face-to-face?
What is the source of funds?
Are any FSA concessions being applied?
You can use Save Draft at any time to save your progress. Once you’re satisfied it’s complete, click Complete to lock the form as read-only, stamp your name and the completion date, and add a ✅ next to “Relationship Details” in the checklist.
While the Review is still in the Profiling stage, you can reopen any completed form by clicking Amend. Once you submit the Review for Approval profiling forms can no longer be amended.
